What is the normal window to respond to alerts?
CareLoop's default alert response window is 24 hours (1 working day). For services operating 7 days a week, this includes weekends. This timeframe balances timely follow-up with operational flexibility.
If needed, this window can be extended to 48 or 72 hours (2 or 3 working days) based on your service's requirements. To confirm your specific response window, please check your Standard Operating Procedure (SOP) or consult your line manager.
What happens if the early warning signal is triggered but not responded to within the agreed time?
We understand this can be a concern for teams, but rest assured, the early warning signal system is designed with patient safety as the top priority. It's a collaborative approach, tailored to fit the way your team works.
When an early warning signal is triggered:
- It is first sent to the healthcare provider who registered the patient in the system
- We also send the alert to an appropriate admin email where possible
- Some services prefer using a shared duty email, which we can accommodate
Once an alert is triggered, there is an agreed time window in which any team member can log into CareLoop and indicate what action is being taken. The system offers flexible options that reflect real-world scenarios, including:
- Patient is on holiday
- Has an upcoming appointment
- Is already receiving care
- Other relevant situations
There's also a free-text field to add any extra details.
If a response is logged within the agreed time, the alert is marked as resolved, and no further action is taken.
If an alert isn't responded to within the agreed time, it will be flagged to one of our service delivery managers, who will reach out to your team to check in.
What is your response time to an EWS alert if it goes unread?
If an alert is not responded to within the agreed time, it is automatically escalated to CareLoop. At this point, one of our Service Delivery Managers will reach out to your team with a light-touch approach. Their role is to ensure the alert has been acknowledged and offer any assistance if needed. This additional layer of oversight helps ensure no patient slips through the cracks while respecting your team's workflow and priorities.
I can't access the web portal, what do I do?
If you're having trouble logging in, first check that you're using the correct username. This is typically the first character of your first name followed by your surname (e.g., Harry Chapman would be hchapman). If you've forgotten your password, simply click the 'Reset Password' link in the top right corner of the login page to set up a new one.
If you're still unable to access your account, please don't hesitate to contact us at support@careloop.health. Please include in your email:
- The name of your service
- Which trust you work within
What are the exclusion criteria for your app?
CareLoop has been developed with input from academic experts and is grounded in research to ensure it is safe and suitable for a wide range of users. However, there are two specific exclusion criteria to consider:
- Primary Diagnosis of Borderline Personality Disorder (BPD): At this time, we recommend excluding individuals with a primary diagnosis of BPD. If psychosis is the primary condition and BPD is a secondary diagnosis, the app can still be used.
- Age Restrictions: CareLoop has been extensively tested for safety and compliance, but our research has primarily focused on adults. For this reason, the app is not currently recommended for anyone under the age of 16.
These guidelines are in place to ensure the app is both effective and safe for all users.
Can I see a list of the questions you ask?
Absolutely! CareLoop uses a specialised and unique question set called EMPOWER, which is based on several leading patient-reported outcome measures including the PANSS and CDSS. EMPOWER has been rigorously tested and proven to be highly effective and accurate in tracking mood and symptoms.
The system employs branching question logic, meaning that if a patient provides a negative response to a particular symptom, they will be prompted with follow-up questions to explore the issue in more detail. This helps both the patient and clinician gain a clearer understanding of the specifics of the concern.

How many days a week does the user have to use the app?
CareLoop's specialised algorithm was designed with real-world use in mind, ensuring it remains flexible and practical for patients. Reliable and accurate data can be gathered from as little as 3 days of use per week.
However, we always encourage users to engage with the app daily, if possible. Regular use reduces the likelihood of missing key events or triggers that could provide valuable insights into their condition and inform clinical decision-making.
Our goal is to balance ease of use with the ability to capture meaningful data, ensuring both patients and clinicians get the most out of CareLoop.
How many users do I have to sign up?
CareLoop was designed to integrate seamlessly into your existing workflows, and we understand that every patient is unique. Just as not all medications are suitable for everyone, CareLoop may not be the right fit for every individual.
However, we encourage you to offer the app to all your patients unless there's a specific reason not to. Our research shows that many patients find using CareLoop to be a positive experience, helping them take back control and ownership of their condition while fostering a sense of proactivity in managing their health.
There's no strict requirement for the number of users to sign up—our goal is to support you in providing the best care possible for those who may benefit from it.
What if my patient changes devices?
CareLoop's app access process was designed with patient engagement, making it as seamless as possible to onboard and transition for users. If a patient wishes to change devices, they can follow these simple steps:
- Go to the Settings section of the CareLoop app.
- Scroll down and select 'Delete App'. This will remove their account from the current device, but all their data remains safely stored on our servers.
- To set up the app on a new device, the patient will need their pairing code or QR code, which was created by the healthcare professional during the initial account setup. This code can be accessed at any time by a healthcare professional via the CareLoop dashboard:
- Go to the patient's profile.
- Click 'Mobile Setup' to view the pairing code or QR code.
My patient is having a bad reaction to the app, what should I do?
First and foremost, don't panic. It's not uncommon for some individuals to experience heightened stress or discomfort when using CareLoop for the first time.
If you feel it's appropriate and safest to do so, instruct the patient to delete the app and cease using it. In our research studies, we've found that any negative reactions to the app cease once its use is discontinued. Patient safety and well-being are our top priorities.
I need to switch the provider for a patient to another healthcare professional?
We understand that in fast-paced NHS teams, patient assignments can change frequently. If you're receiving alerts for patients you no longer oversee—or if you'd like to start receiving alerts for new patients already onboarded to CareLoop—please email us at support@careloop.health.
Important: To protect patient confidentiality, do not include any identifiable patient details in your email. Instead, follow these steps:
- Open the patient's profile in CareLoop.
- Copy the URL from your browser's address bar.
- It will end in - /participants/####/summary -- where "####" is a patient's unique identifier number.
- Email us with:
- The copied URL
- Your service name
- The email addresses of both the current and new providers
- The direction of the transfer (e.g., "from X to Y")
Our team will then update the system to ensure the right healthcare professionals are notified and involved in each patient's care.
Can my patient keep using CareLoop if we discharge them from the service?
This is a question we're often asked, and while we would never want to take away a tool that someone finds helpful, there are some important considerations.
If your patient is being referred to another service that also uses CareLoop (e.g., from Early Intervention in Psychosis [EIP] to a Community Mental Health Team [CMHT]), we may be able to transfer their data to the new service.
However, if there is no ongoing clinical team to receive and act on alert information, we unfortunately cannot keep the patient in the system. As CareLoop is not a medical team, we cannot assume the duty of care needed to check and respond to alerts independently.
That said, we are exploring the possibility of developing a restricted version of the app for use after discharge. This version could include features like CBT exercises and mindfulness tools, without the alert functionality.
